Onboarding Coordinator – Contractor Resources
We are seeking an Onboarding Coordinator to join our Resource Management Organization (RMO) within the Bank’s Staffing Office. The RMO serves as a centralized model for providing both Technology and Non-Technology services, offering top-tier support for our clients. The team focuses on the efficient engagement of contractor resources, ensuring smooth onboarding and offboarding processes that align with corporate requirements. This position will play a key role in managing high-volume contractor onboarding for the designated Business Units (BU) in North America (NAM), ensuring fast and efficient start times while maintaining compliance with all processes.
Key Responsibilities:
- Develop strong relationships with key business users, including Hiring Managers, Procurement, and HR, to onboard contractors effectively across the designated BU in NAM.
- Perform onboarding, maintenance, and offboarding activities for the Non-Employee Management System (NEMS).
- Maintain system data throughout the lifecycle of non-employee resources, ensuring compliance with Bank policies and corporate due diligence requirements.
- Address client queries in a timely manner via email, phone, and instant messaging, escalating issues as necessary.
- Manage a high-volume workload, resolving a variety of client inquiries and providing excellent customer service.
- Review contractor documentation and ensure compliance with onboarding procedures and data quality standards.
- Ensure the accuracy of project contracts within the Bank's vendor management system, monitoring budget milestones and resource hours to avoid overages.
- Participate in process improvement discussions and contribute suggestions for enhancing onboarding efficiency, automation, and controls.
- Collaborate with senior stakeholders and provide support on issues relating to non-employee management and compliance.
Required Knowledge & Experience:
- At least 2 years of experience working in an administrative or business office environment with in-house systems, ideally in financial services, banking, or staffing industries.
- Minimum of 1 year of relationship management experience, working with both internal and external clients/stakeholders to provide excellent service.
- Familiarity with Vendor Management Systems (VMS) and onboarding processes.
- Proficiency in MS Office tools (Word, Excel, Outlook, and instant messaging) to manage data, create reports, and present information.
- Technical or associate degree in Business Administration, or relevant experience.
- Understanding of risk management and control practices.
Skills & Abilities:
- Quick learner with the ability to master new systems and applications efficiently.
- Strong time management skills with the ability to handle 150-250 emails daily.
- Ability to manage multiple tasks and prioritize effectively in a high-pressure, fast-paced environment.
- Strong problem-solving and decision-making capabilities.
- Excellent written and oral communication skills in English.
- Ability to build long-term relationships with clients, always putting their needs first.
- High attention to detail and accuracy in data entry and documentation.
- Flexible and adaptable, able to adjust to changing business needs and demands.
- Capable of working independently with minimal supervision.
