Onboarding Specialist
We are seeking a dedicated and proactive Onboarding Specialist to facilitate the seamless and efficient onboarding of new hires and rehires. This role will involve ensuring that background checks, compliance requirements, and health screenings are completed accurately and on time. The Onboarding Specialist will work closely with new hires, guiding them through the process and addressing any inquiries they may have. In addition, this position will require collaboration with multiple departments to ensure a smooth onboarding experience. Key Responsibilities:
- Process new hire paperwork for external employees, including conducting background checks, drug screenings, and verifying I-9 forms.
- Send external employee agreements, offer letters, and contracts.
- Guide new hires through the onboarding process, ensuring compliance with all necessary requirements.
- Provide administrative support to internal and external employees within the division.
- Answer incoming phone calls and direct them as needed.
- Collaborate with the Payroll department to ensure timely and accurate submission of timesheets.
- Assist with communication between Sales Managers and Recruiters by participating in calls and meetings to address questions and concerns.
- Become a subject matter expert on Vendor Management Systems (VMS) and assist internal and external employees with submissions and any issues that arise.
- Support Sales and Recruiting teams with additional tasks or projects as needed.
- Perform other duties as required.
Required Skills and Qualifications:
- Ability to work independently with minimal supervision.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- High attention to detail and the ability to handle confidential and sensitive information.
- Previous experience in a fast-paced, efficiency-focused environment is preferred.
- Excellent interpersonal and communication skills, with the ability to build and maintain relationships.
- Ability to prioritize tasks in a dynamic, fast-moving environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with CRM or ATS systems for onboarding is a plus.
- Bachelor’s degree or equivalent experience in a related field.
