Onboarding Specialist


Medasource is seeking an Onboarding Specialist to manage and streamline the onboarding process for new, past, and current consultants. This role will be integral to the onboarding team, ensuring all required documentation—such as tax forms, insurance forms, W-2, 1099, and I-9 verification—is completed accurately and on time. The ideal candidate will be skilled in utilizing specialized software to manage forms and tasks, maintaining a smooth cadence for paperwork completion, and providing excellent customer service to our consultants. As an Onboarding Specialist, you will become an expert in the onboarding process, supporting the delivery team and ensuring consultants are fully prepared before their start date.

Key Responsibilities:

  • Maintain and update the internal onboarding requirements board in Smartsheets daily.
  • Work with the onboarding team to delegate specific tasks for launching and completing forms.
  • Utilize tools such as Sterling Talentwise Solutions, Able Paperwork, People 2.0 portal, and various credentialing software.
  • Create and maintain a timely cadence for launching paperwork and ensure consistent follow-up with consultants to ensure compliance before their start date.
  • Enter candidates' employment specifics into the Recruiting Platform Employee File.
  • Develop and manage client- and consultant-specific workflows.
  • Collaborate with the sales team to periodically update client-specific onboarding requirements to align with signed agreements.
  • Escalate complex issues related to background checks or pre-employment screening to the HR team.
  • Participate in client calls to educate them on Medasource’s onboarding process.
  • Contact clinics as needed to collect or confirm results for complex scenarios.

What You Will Need to Succeed:

  • Exceptional customer service skills.
  • Strong attention to detail and organizational skills.
  • Previous data entry and administrative experience is preferred.
  • Ability to work quickly and efficiently, especially when managing large projects.
  • Familiarity with Excel and data management; formula knowledge is a plus.
  • Strong ability to learn and adapt to new processes, and the initiative to suggest improvements where necessary.
  • A team-oriented mindset with a focus on company success.
  • A sense of urgency and a positive attitude toward compliance.
